Office Policies

Booking an appointment

Please call the office to book an appointment.

When calling the office, you will be offered either a virtual telephone appointment or an in-person visit. If your physician requires further assessment after a virtual visit, they may book you for an in-person visit. For in-person visits, we ask that you please arrive on time and wear a face mask or face covering that covers your nose, mouth and chin.

Please understand that sometimes we will not be able to address all your health concerns in one visit. Your physician will work with you to prioritize what needs to be addressed first, and we ask that you book a follow up for the remaining issues. We will do our best to respect your time and in return would ask the same of yourself for our time and the next patient waiting.

Urgent issues

Each day we will allocate some time for same-day appointments for urgent issues (ex. urinary tract infections, ear infections, unwell children). For urgent issues, you may be seen by another physician i n the office if your primary physician is not available.

In a medical emergency, it is advised that you call 9-1-1 or present to your nearest emergency department.

Medication Refills

We will renew medications by fax with your pharmacy. Please ask your pharmacist to fax us a request. PLEASE ALLOW 2 to 3 BUSINESS DAYS IN ADVANCE so that you do not run out of your medications.

Some medications may not be reviewed because we need to follow up with you first; in this case we will ask that you book an appointment/virtual appointment.

A word about controlled substances, including opioids and benzodiazepines

Narcotic and benzodiazepine prescriptions require regular follow up every 3 months - whether virtually or in-person. We follow prescribing guidelines which include an Opioid Use Contract, pre-determined dispensing intervals and random urine drug screens.

Communication and Email

Please update the staff if you have any change in your information, including contact information, address changes, health care updates etc.

Our office does use email to communicate with patients for certain tasks - such as providing laboratory requisitions, notes, or even accepting photos of dermatological issues of non-sensitive areas. Please note you always have the option to opt out of this service.

Please be advised that sending and receiving emails have a risk of breach of privacy. By using email to communicate with our office, you consent and accept these risks. If you have any concerns, please discuss with the staff or your physician.

Please DO NOT use email to seek medical advice. Call the office at 905-852-3339 to speak with our staff and/or book an appointment. If there is a medical emergency, please call 9-1-1 or go to your nearest Emergency Department. Office email accounts are only checked during business hours Monday-Friday 9am to 4pm. If appropriate, you will receive a reply within 2-3 business days.

Uninsured Services

OHIP covers most, but not all, medical treatments and services. Some common examples include forms for school, work, and insurance, Driver’s Physicals for the Ministry of Transport, travel medicine and some vaccinations. You are responsible for the payment of these services. Please see this link for a comprehensive list with the fees.

Forms

If you have forms, please let the staff know when you book your appointment and when you check-in at reception. Most forms cannot be completed at the time of the visit, and will be usually completed within 1-3 weeks depending on what is required. Please plan accordingly. If your physician needs additional information to accurately complete your forms, you may require a follow up appointment or a referral to a specialist.

Zero Tolerance Policy

See here for details of our Zero Tolerance Policy:

Medical education

Occasionally, there may be learners rotating through the office (medical students, residents or International Medical Graduates). They may be involved in some or all aspects of your visit, and will be working under the direct supervision of your physician. We welcome feedback of your encounters, as this is a key component of their training!
